This Privacy Policy explains how Thumbnail Mafia ™ collects, uses, shares, protects, and retains information for private YouTube thumbnail review workflows.

Scope and controller

Thumbnail Mafia ™ provides private YouTube thumbnail review workflows for channel owners, thumbnail artists, reviewers, invitees, and related creative teams. This policy applies to thumbnailmafia.com, related web or mobile apps, account flows, public pages, private workspaces, and connected Google or YouTube features.

Thumbnail Mafia ™ is responsible for personal information it collects directly from users, except where it processes information on behalf of a channel owner, customer, workspace administrator, or other organization under a separate agreement.

Information we collect

We collect account details such as name, email address, role intent, profile information, approval status, authentication identifiers, channel membership, profile image, public profile fields, and settings.

We collect workflow and User Content data that you or authorized teammates upload, import, create, or submit, including channels, videos, project details, thumbnail files, channel media, review rounds, comments, annotations, ratings, reactions, approvals, invitations, notifications, and feedback requests.

When you connect Google or YouTube, we may store OAuth tokens and channel metadata needed to verify channels, import videos, import public thumbnail URLs, sync channel avatar URLs, sync banner URLs, store uploads playlist IDs, and show public channel statistics.

We collect communications and operational data such as registration approvals, invite emails, support requests, legal notices, device information, IP address, browser type, timestamps, log data, diagnostics, security events, analytics events, and local browser storage needed for authentication, preferences, and app state.

How we use information

We use information to create and authenticate accounts, manage approvals, enforce permissions, operate channels and projects, process uploads, show thumbnail options, collect comments and reactions, send transactional emails, provide notifications, support users, secure the service, and maintain backups or audit records.

We use connected Google and YouTube data only for user-facing features you authorize, such as channel connection, video import, media sync, and thumbnail workflow features. We may also use aggregated or de-identified operational data to understand product reliability, security, and usage patterns.

At this time, we do not sell personal information or share personal information for cross-context behavioral advertising. We do not use private User Content to train general-purpose AI models unless we update this policy, make the use clear, and obtain any required permissions.

User Content and ownership

Users retain ownership of their content. Thumbnail Mafia ™ does not claim ownership of thumbnails, videos, profile media, comments, channel assets, files, feedback, or other User Content submitted to the service.

You grant Thumbnail Mafia ™ a limited license to host, store, reproduce, process, display, transmit, adapt for technical formatting, create previews, back up, and share User Content with authorized users only as needed to provide, secure, support, maintain, and improve the service.

Workspace owners, administrators, project participants, thumbnail artists, reviewers, invitees, and other authorized users may be able to see or interact with User Content based on permissions and workflow settings.

How information is shared

We share information with authorized workspace participants, service providers that host or support the service, identity and email providers, analytics and monitoring providers, cloud infrastructure providers, and Google or YouTube when you authorize connected features.

We may disclose information if required by law, to enforce agreements, to protect rights and safety, to investigate abuse or security incidents, to respond to legal process, or as part of a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets with appropriate confidentiality protections.

We may share information with your consent or at your direction, including when you invite teammates, send feedback requests, connect YouTube, download files, or make profile information public.

Google and YouTube data

The use and transfer of information received from Google APIs by Thumbnail Mafia ™ will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We request only permissions needed for visible connected features, do not sell Google user data, do not use Google user data for advertising, and do not transfer Google user data except as allowed to provide or improve user-facing features, maintain security, comply with law, or complete a user-approved business transaction.

You can revoke Google account access in your Google account settings. Revocation may stop channel verification, YouTube import, media sync, or related connected features from working.

Cookies, analytics, and local storage

Thumbnail Mafia ™ may use cookies, pixels, local storage, and similar technologies to operate the site, keep sessions and preferences working, understand traffic, improve performance, and protect the service.

The site currently uses Google Analytics. Browser storage may also hold authentication tokens, pending sign-in state, signup role intent, theme preference, music volume, and related app settings. Disabling storage may affect sign-in and app features.

Retention

We retain personal information and User Content for as long as needed to provide the service, maintain accounts, preserve collaboration history, comply with legal obligations, resolve disputes, prevent abuse, enforce agreements, and maintain security or audit records.

Deleted content may remain for a limited time in backups, logs, caches, exports, audit records, or records we are legally or operationally required to keep. Other authorized users may retain copies they accessed, downloaded, exported, or received before deletion.

Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No internet service, storage system, cloud provider, or security practice can guarantee complete security.

You are responsible for strong credentials, device security, invite controls, workspace permissions, and independent backups of important files. To the fullest extent permitted by law, Thumbnail Mafia ™ is not liable for unauthorized access, security incidents, or data loss caused by account compromise, user error, third-party services, attacks, outages, or circumstances outside our reasonable control.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, export, restrict, object to, or withdraw consent for certain processing of your personal information. You can update some information in account settings and can contact us for other requests.

California residents may have rights to know or access categories and specific pieces of personal information, request deletion, request correction, opt out of sale or sharing, limit certain uses of sensitive personal information, and avoid discrimination for exercising privacy rights.

Users in the European Economic Area, United Kingdom, and similar regions may have rights to be informed, access data, correct data, erase data, restrict processing, object, port data, withdraw consent, and complain to a supervisory authority. Legal bases may include contract performance, legitimate interests, consent, and legal obligations.

International transfers

Thumbnail Mafia ™ is operated from the United States. Information may be processed in the United States and other countries that may have different data protection laws than your country. Where legally required, we rely on appropriate transfer safeguards or exceptions.

Children

Thumbnail Mafia ™ is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Users under 18 may use the service only with permission from a parent or legal guardian and only where permitted by law.

If you believe a child under 13 provided personal information to us, contact us so we can review and delete it where required.

Changes and contact

We may update this policy as the service, laws, or business practices change. If changes are material, we will provide notice in a reasonable way, such as updating the effective date, posting notice on the site, or sending an account message when required.
